Activity Booking Information
We currently hold contact email and names from former customers or enquirers for activities delivered at the centre and archive only what is required for regulatory and legal purposes. Any other transactional data is deleted regularly. Archived information is kept securely and confidentially.
Hostel/ Residential bookings
We use freetobook for all our hostel & residential bookings. We share responsibility with them for keeping your information secure. Please read the freetobook GDPR policy here.
Personal information (name and contact details) that you have given to us as part of a transaction will only be used with your explicit consent, to deliver our newsletters, important press releases, invitations to events and we will use anonimised data for the statistical information that we need to demonstrate that we are delivering our charitable aims.
We recommend that you use PayPal to pay for your stay. We do not hold any information about your bank details. You can read the PayPal GDPR policy here.
Direct marketing/ Mailing Lists
Prior to May 2018 we have had an opt out system for use of photographs of participants on our courses as part of the Acknowledgment of Risk Form. This was adequate for Data Protection purposes however under GDPR we have to have an opt in system. We will now have an opt in system for use of photographs and will ensure that photos that we use for promotional purposes from May 2018 onwards (are collected on opt – in permissions)
We have an unattended visitor book and so we recommend that only the date of stay and comment is recorded to help keep visitors personal data secure.
Management of Staff & Volunteers
Only necessary information for employment/ volunteering is requested and what is required to be archived is stored securely.
Secure access to Digital/ Paper based systems
Our digital and paper based systems are stored securely, paper based material used as part of the are shredded when no longer required and digital data anonomised for statistical purposes.
